Affiliate MeetUps is a networking event series for the performance marketing industry, organized by XenTraffic. This policy explains what personal information we collect through affiliatemeetups.com and our associated social media accounts, why we collect it, who we share it with, and how you can have it removed. We keep it short and specific on purpose.
01Who we are
Affiliate MeetUps is operated by the XenTraffic team. For any question about this policy, or about the personal information we hold about you, write to info@xentraffic.com. We answer privacy requests from this address and we are the party responsible for the information described below.
02What we collect
Information you give us
When you register for Affiliate MeetUps through the form on this site, we ask for your first name, last name, email address, company and job title. A phone number is optional. You choose whether to submit the form, and nothing on this site requires registration to browse.
Of those fields, the information we actually retain is your first name, last name and email address, which are added to our event mailing list. Company, job title and phone number are used only to qualify the registration at the moment it is received and are not kept in our mailing list records.
Information collected automatically
Our web server keeps standard access logs containing your IP address, the pages requested, the date and time, and your browser user agent. These logs exist for security and troubleshooting. We do not use them to build a profile of you.
What we do not do
- This site sets no advertising cookies and no tracking pixels. There is no Meta pixel, no Google Analytics and no session tracking on affiliatemeetups.com.
- We do not buy personal information about you from data brokers.
- We do not sell, rent or trade your personal information to anyone, for any purpose.
This site loads its typefaces from Google Fonts. That request tells Google your IP address, as any request to any third party server would. No other third party receives anything from your visit.

We do not use your information for automated decision making, and we do not use it for any purpose other than the ones listed above without asking you first.
04Who we share it with
We share your name and email address with one service provider, and only so that we can email you:
Cyberimpact
A Canadian email service provider, based in Quebec, that hosts our mailing list and delivers our event emails. Cyberimpact processes this information on our instructions and does not use it for its own purposes. Their privacy policy is available at cyberimpact.com.
Beyond that, we disclose personal information only where the law requires it, for example in response to a valid legal order. If the operation of Affiliate MeetUps is ever transferred to another organization, we will tell you before your information moves with it.
05Our social media accounts and the Meta platform
Affiliate MeetUps maintains accounts on Instagram, Facebook and Telegram. We use software of our own to schedule and publish posts to the accounts we own. That software connects to the Meta platform using an access token granted by the account owner, and it has one capability: publishing content to our own accounts.
To be explicit about what this means for you:
- Our application does not collect, store or process the personal information of Instagram or Facebook users, including people who follow, like or comment on our posts.
- It does not read your private messages, your follower list, your contacts or your profile information.
- It does not use platform data for advertising, profiling, resale, or any purpose beyond publishing our own posts.
When you interact with our posts on Instagram or Facebook, that interaction is governed by Meta's own privacy policy, not by this one. The same applies to our Telegram channel and to Telegram's policy.
06How long we keep it
We keep your name and email address on our event mailing list until you unsubscribe or ask us to delete them. If you unsubscribe, we retain a minimal record of the unsubscribe itself so that we do not email you again by accident, which is a legal requirement rather than a choice. Server logs are kept for a short operational period and then rotated out.
07Your rights, and how to use them
You can ask us at any time to show you what we hold about you, to correct it, or to delete it. You can also withdraw your consent to our emails whenever you want.
Unsubscribe
Every email we send carries an unsubscribe link at the bottom. One click removes you from the list, and it takes effect immediately.
Access, correction and deletion
Write to info@xentraffic.com with the subject line Privacy request, from the email address you registered with, and tell us what you want done. We will confirm receipt and complete the request within 30 days. There is no charge, and you do not need to give a reason to have your information deleted.
Data deletion request
If you registered through our site or through one of our social media accounts and you want everything we hold about you erased, send an email to info@xentraffic.com with the subject line Delete my data. We will remove your record from our mailing list and from our service provider, and we will write back to confirm that it is done.
If you are in Quebec or elsewhere in Canada and you are not satisfied with how we handled your request, you may complain to the Office of the Privacy Commissioner of Canada or, in Quebec, to the Commission d'acces a l'information. If you are in the European Union or the United Kingdom, you may complain to your national supervisory authority.
08Security, and where your information lives
The site is served over HTTPS. Registration data is transmitted encrypted and is held by our email service provider on servers in Canada. Access to our systems is limited to the people who operate Affiliate MeetUps. No system is perfectly secure, and we will not pretend otherwise, but if a breach ever affected your information we would notify you and the relevant authority as the law requires.
09Children
Affiliate MeetUps is a professional event series intended for people who work in the marketing industry. It is not directed at children, and we do not knowingly collect information from anyone under 16. If you believe a child has registered, write to us and we will delete the record.
10Changes to this policy
If we change how we handle personal information, we will update this page and change the effective date at the top. Material changes affecting people already on our list will be announced by email before they take effect.
